PG BYTE LTD is the data controller for the personal information described in this policy. PG Byte is the company’s trading name.

2. Information we collect

Enquiries and business correspondence

When you use the online enquiry form, we may receive your name, email address, optional company or organisation, enquiry type, project summary, optional budget range and timescale, and your privacy acknowledgement. When you email or otherwise correspond with PG BYTE LTD, we receive your contact details and the content and history of that correspondence. We may also hold records of decisions, proposals or follow-up actions connected with a business enquiry.

Technical website information

Our hosting, email-delivery and security providers may process limited technical information needed to deliver and protect the website and its enquiry form, such as IP address, request time, browser or device information, requested pages and security-event data. We do not use advertising pixels or non-essential analytics at the initial launch of this website.

Please do not include special-category information, payment-card details or other unnecessary sensitive information in a form or email enquiry.

3. How we collect information

We collect information directly from you when you submit the online enquiry form, email us or otherwise correspond with us. Technical information is generated when your browser connects to the website and may be processed automatically by the services that host, secure and deliver it.

We may also receive business contact information from a colleague or organisation that introduces you or asks us to contact you, where it is reasonable to do so.

4. Purposes and lawful bases

We use personal information only where we have a lawful basis under UK data-protection law. Depending on the context, we process information to:

• respond to enquiries and communicate about requested services or potential projects, based on our legitimate interests and, where relevant, steps requested before entering a contract;
• manage business relationships, proposals, records and support correspondence, based on contract performance or legitimate interests;
• operate, maintain and secure the website, prevent misuse and diagnose technical issues, based on our legitimate interests in protecting our services;
• meet legal, regulatory, accounting or dispute-resolution obligations, based on legal obligations or legitimate interests; and
• establish, exercise or defend legal claims where necessary.

5. Service providers and data sharing

We may use carefully selected providers to host and secure the website, deliver email and support business systems. Those providers process information on our instructions or under their own legal responsibilities, depending on the service.

The website uses Cloudflare hosting. When online form delivery is enabled, Resend processes enquiry content to deliver it to PG Byte by email. Email providers may also process enquiry data when you contact a PG Byte email address directly. Current provider details can be requested from legal@pgbyte.com.

We may share information with professional advisers, contractors supporting an authorised business activity, regulators, courts or law-enforcement bodies where this is necessary and lawful. We may also disclose relevant records during a corporate transaction, subject to appropriate safeguards. We do not sell personal information.

6. International data transfers

Some hosting, email or business-service providers may process data outside the United Kingdom. Where a restricted international transfer occurs, we take reasonable steps to ensure that an approved transfer mechanism and appropriate protections are used, such as UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to approved contractual clauses.

7. Security measures

We use proportionate technical and organisational measures intended to protect personal information. These include access controls, secure transmission, server-side form validation, anti-abuse controls, credential management, service-provider review and limiting access to people who need the information for an authorised purpose.

No internet service is completely secure. If we identify a personal-data breach, we will assess and manage it in line with applicable legal requirements.

8. Retention periods

We retain enquiries and business correspondence only for as long as reasonably needed for the purpose collected. Enquiries that do not progress are normally reviewed for deletion within 24 months after the last meaningful contact. Records connected with a contract, transaction, legal duty or dispute may be kept longer, commonly for up to six years after the relevant relationship or matter ends, where needed for legal, tax, accounting or claims purposes.

Technical security logs are generally kept for shorter periods determined by operational and provider requirements. We may delete information sooner where it is no longer needed.

9. Your data-protection rights

Depending on the circumstances, UK data-protection law may give you the right to:

• request access to personal information we hold about you;
• ask us to correct incomplete or inaccurate information;
• request deletion of your information;
• ask us to restrict its use;
• object to processing based on legitimate interests;

These rights are not absolute and exemptions may apply. To make a request, email legal@pgbyte.com. We may need to confirm your identity before acting and will normally respond within one month, subject to the law.

11. Changes to this policy

We may update this policy when our website, providers, business activities or legal obligations change. The current version will be published on this page with a revised “last updated” date. Material changes may also be communicated through an appropriate additional notice.
